Handling Aborted Messages

When a batch import is completed, a summary page is displayed at the end of the import process. This summary shows the total number of imported messages, together with:

  • The number of messages which failed to import because no policies were triggered.

  • The number of messages which were not imported because they exceed the retention period that has been set for the relevant archive store.

  • The number of messages that were aborted due to an error.

After importing from PST files

Sometimes, messages can be aborted because the sender/recipient address cannot be found. To help manage these cases, a list of missing addresses is created in a file named SMTPCache.txt. The location of this file is shown in the log file (The default location is C:\ProgramData\Exclaimer Ltd\Mail Archiver\smtpCache.txt). For example, if the PST file was generated from an old version of Microsoft Exchange, a missing address example may read:

/O=EXCLAIMER/OU=FIRST ADMINISTRATIVE GROUP/CN=RECIPIENTS/CN=ALEX

A user can access the SMTPCache.txt file, enter any email addresses to be used and then choose to retry aborted messages from the batch importer.

Taking the example above, the SMTPCache.txt file would contain:

/O=EXCLAIMER/OU=FIRST ADMINISTRATIVE GROUP/CN=RECIPIENTS/CN=ALEX|<replace with smtp address>|REPLACE WITH DISPLAY NAME|/O=EXCLAIMER/OU=FIRST ADMINISTRATIVE GROUP/CN=RECIPIENTS/CN=ALEX

The user can then edit the file with the correct information:

/O=EXCLAIMER/OU=FIRST ADMINISTRATIVE GROUP/CN=RECIPIENTS/CN=ALEX|[email protected]|Alex Smith|/O=EXCLAIMER/OU=FIRST ADMINISTRATIVE GROUP/CN=RECIPIENTS/CN=ALEX

When the retry aborted messages option is selected, the SMTPCache.txt file is read and missing email addresses are matched. Taking the example above, the message would be imported with the sender shown as Alex Smith with the email address [email protected].

After importing from Exchange Mailboxes

Sometimes, messages are imported from Exchange Mailboxes but do not appear in the Index because the sender/recipient address cannot be found (e.g. the sender or recipient no longer exists in Active Directory). In these cases the email message is added to the store, but not the index, and therefore does not appear in search results. In this scenario you will see warning entries in the Exclaimer Event Log similar to:

Unable to index message 197d365212ad40238ad58756f2e65399/2014/06/09000.BIN/99432.eam as it had unresolved correspondents as previously reported. You will need to update the C:\ProgramData\Exclaimer Ltd\Data\Live Store\index\smtpCache.txt file and then schedule an index resynchronization task for the store "Live Store"

A user can access the SMTPCache.txt file in the location given (C:\ProgramData\Exclaimer Ltd\Data\Live Store\index\smtpCache.txt in the example above) and see a list of missing addresses, for example:

"/O=EXCLAIMER/OU=FIRST ADMINISTRATIVE GROUP/CN=RECIPIENTS/CN=ALEX","[email protected]","Alex Smith"

The user can then edit the file with the correct information:

"/O=EXCLAIMER/OU=FIRST ADMINISTRATIVE GROUP/CN=RECIPIENTS/CN=ALEX","[email protected]","Alex Smith"

When a Resynchronize Task (see Working with Indexes for steps) is run on the store, the SMTPCache.txt file is read and missing email addresses are matched. Taking the example above, the message is indexed with the sender shown as Alex Smith with the email address [email protected].
